- Kenneth Brian Associates have recently partnered up with a very successful organisation based in the Cobham area. We are looking for a self-motivated, organised individual to fill this vacancy as PA to Managing Director.
Duties will include:
· Manage the diary of CEO and prepare/coordinate his schedule and make the necessary arrangements
· Handle/relay all correspondence in the absence of CEO
· Arrange meetings and functions as required, ensuring cost effectiveness of suppliers
· Compile data, and prepare papers for consideration at meetings
· Attend meetings and compile, transcribe and distribute minutes
· Manage CEO’s travel arrangements
· Update personal documents of CEO and his family when required
· Maintain CEO’s office including data management and filing
· Meet & greet all visitors and present an image that reflects the values and standards at all times
· Arrange internal and external communication to ensure all necessary parties are fully informed
· Keep up to date with relevant business/commercial information, cascade to team/colleagues and brief on new initiatives and changes
· Represent CEO externally and internally in the best interests of the company
· Any other duties as may reasonably be required by the CEO
Key Skills:
· Ability to work under pressure and within short deadlines
· Excellent secretarial/administration skills
· Excellent attention to detail with high level of accuracy
· Ability to deal with sensitive information with discretion to maintain confidentiality.
· Excellent PC skills using MS Office: Word, Excel and PowerPoint.
· Excellent communication and customer service skills
· Strong interpersonal, organisational and negotiation skills
· Attain knowledge of business and management principles involved in strategic planning, resource allocation, human resources modelling, leadership technique, production methods, and coordination of people and resources
· A professional, mature, confident, friendly image
Essential:
· Three years’ Personal assistant experience to a senior management level professional preferably in a multinational company environment
· Self-motivated
